operations and administration OFFICER (1-year contract)
The Operations and Administration Officer reports to the Operations Manager and plays a key role in supporting the Operations Unit. This position is responsible for providing administrative and secretarial support, ensuring smooth coordination across units, and maintaining effective internal and external communications.
Responsibilities:
- Provide secretarial support to the Council, Committees and the Association, including organizing meetings, editing and compiling briefing materials, documentation and papers, drafting reports and taking minutes, etc.
- Support the Director General’s Office and Operations Unit with cross-unit administrative coordination, and internal and external correspondence and communications
- Maintenance of contact lists and registers, and updating organizational documents and records
- Handle ad hoc tasks as needed.
Requirements:
- A recognized degree in Business Administration or a related field; completion of a Company Secretary or Corporate Governance course is an advantage.
- Minimum 3 years of relevant administrative and secretarial work experience, preferably in an NGO setting. Candidates with less experience will be considered as Operations and Administration Officer II.
- Experience supporting senior management and/or governance bodies is highly desirable
- Strong organization, interpersonal and communication skills.
- High attention to detail, accuracy and due process, and ability to work under pressure with tight deadlines
- Preparedness to work flexible hours, including weekends, when required
- Excellent language skills in both spoken and written English and Chinese.
- Proficient in Microsoft Office, digital document sharing tools, and other relevant software applications
- Identification with Oxfam’s mission and vision is a must.
